Account and workspace settings

Manage your own settings and distinguish them from shared workspace settings.

Your personal account settings and workspace settings affect different things. Before changing anything, check whether you are editing your own account or a shared workspace.

Open personal settings from the account menu. For shared settings, select the correct workspace first and open its settings.

  1. Edit only the information you need to change.
  2. Save and check the success message.
  3. Reopen the view and confirm the new value appears.

If saving fails, keep the information you need and correct the visible error. Editing a field alone does not mean the change has been saved.

Workspace membership determines which organisation’s information you can access. Your role determines what you may do there. If member management is available in the subscription and your permissions, check the recipient and the effect of the role before sending an invitation. Follow its status: sending an invitation does not mean the recipient has joined.

Do not share your login with another person. Ask an administrator to add the required membership or change your role if you cannot perform your task.

You need permission to manage members in the selected workspace. If the action is missing or blocked, ask the workspace administrator to make the change; do not share your own login.

  1. Open Members in the correct workspace and select Invite members.
  2. Check the recipient’s email address and select the role needed for the task.
  3. Send the invitation and confirm it appears in the invitation list. Membership starts when the invitation is accepted.
  4. To change an existing member’s role, open their row menu and select Update Role. Check the new role in the list after saving.

A pending invitation and an existing membership are different:

  • Invitation not accepted: select Delete Invitation for that invitation, check the recipient and confirm. Verify it is no longer active.
  • User already a member: open their row menu and select Remove from Account. Check the person and workspace before confirming. Afterwards, verify the member has disappeared from the list.

If the list does not update, reopen the view and check the result. If an error occurs, do not assume access has been removed. Removing membership is not itself a personal-data deletion request and does not delete workspace content.

Open workspace Settings → Notifications. Choose the available channels you need and save. An email channel marked as coming soon does not send notifications yet. Human-support notifications also depend on that feature’s availability and configuration.

Use a unique password and enable two-factor authentication in your account security settings. Store recovery information provided during setup somewhere secure, not in documentation feedback or a support conversation.

Manage subscription and billing if your change concerns the workspace subscription.

Pausing an agent, removing installation code and disabling lead collection do not delete data already stored in the service. Choose the task according to whether you want to stop use, restrict a person’s access or request deletion of personal data.

You can send a data-access or deletion request to privacy@aihio.ai . State whether it concerns your own account or information processed by an agent in your workspace, and briefly describe the request. Do not send passwords, API keys or complete customer conversations in the first message. Any additional information needed is agreed during handling.

Sending a request does not confirm that data has been deleted. Follow the response and retain confirmation of handling. Current retention periods and exceptions are in the documents linked above; this guide does not maintain a separate copy.
